Accounting Department Manager Job Role

Job Description: The Accounting Department Team Manager reports to the Vice President of Operations and plays a crucial role in overseeing and maintaining a high level of transactions and data for all RPM Pros customers and clients. They provide leadership and work closely with staff to cultivate a high-performance, quality detailed,  customer service-oriented work environment that aligns with RPM’s mission, objectives, and values.

Duties and Responsibilities

Leadership and Team Management:

  • Directly manage accounting clerk personnel.
  • Participate in the selection of accounting clerk staff and provide or coordinate their training to enhance performance.
  • Provide leadership and support to ensure a detail oriented, accurate, while customer-centric work environment, fostering excellence in service delivery among the team.
  • Plan, organize, manage, support, and evaluate the work of accounting clerk staff, promoting a culture that emphasizes customer satisfaction and operational efficiency.
  • Review daily activities to ensure timely and appropriate coordination of office operations, optimizing efficiency and customer service standards.

Process Improvement and Implementation:

  • Identify areas for process enhancement and assist in implementing and integrating these changes to improve operations.
  • Review and follow up on any escalated accounting adjustment requests or other escalated situations brought to the attention of the accounting team, providing guidance and resolution as needed.

Accounting Duties:

  • Oversee, perform and facilitate a number of ongoing accounting tasks to include but not limited to:
    • Utility Billing

    • Utility provider start up and off-boarding

    • Maintenance billing (MELD / AF Work Orders)

    • StopLoss billing

    • Co-op billing

    • Payroll (E)

    • Credit Card transaction entry

    • Credit Card reconciliation (E)

    • Special Services payment (HOA, taxes, property insurance, other)

    • Accounting Adjustment requests

    • Delinquency Process

    • Evictions (C)

    • Collections 

    • Lease Startup Accounting Quality Check

    • Program Fees

    • R-5 Filling

    • Deposit Release

    • Property Off-boarding

    • 1099 Reporting (E)

    • Year End statements (E)

    • Owner DAW & statements

    • Payables

    • Receivables

    • Reporting

Eviction Preparation and Assistance:

  • Review and advise on any eviction needs. Work directly with the lawyer and owner to coordinate, supply documentation, sign and assist with fillings, arrange court appearances, sherif lock outs and other necessary requirements. 

Assistance and Support:

  • Assist with telephone inquiries and Help Scout interactions as necessary. Support company team inquiries across team platforms on procedure, protocol and other as workload demands.

Other Duties:

  • Perform other related duties as assigned, contributing to the overall efficiency and success of the department.

Requirements:

  • Education Required: Bachelor's degree in Accounting, Business Administration, Project Management, or related field (preferred). Relevant experience in property management or real estate may be considered in lieu of formal education.
  • Experience Required: Minimum of 3 years in property management, real estate, or related field, with at least 1 year in a supervisory or managerial role.

Skills, Knowledge, and Abilities:

  • Strong leadership and team management skills.
  • Excellent organizational and time management abilities.
  • Proficiency in property management software and Microsoft Office suite.
  • Comprehensive understanding of relevant laws and regulations governing property management.
  • Ability to handle escalated situations with tact and resolution-focused approach.

Employment Type & Location:

The position of Accounting Department Manager is full-time and can be based in-office, remote, or hybrid. Travel may be required for court appearances and special office meetings.
