Time Off and Coverage Responsibility Policy

At Real Property Management Pros, we value the well-being of our Team Members and encourage you to take time off to recharge and maintain a healthy work-life balance. However, it is crucial that business operations continue smoothly in your absence.

To ensure this, the following guidelines must be adhered to when requesting time off:

1. Responsibility for Coverage:

  • Team Members are responsible for ensuring that all tasks, duties, and responsibilities are covered during their time off.
  • Coverage must include any ongoing projects, client communications, or time-sensitive tasks.
  • The Team Member should work with their team to assign tasks to appropriate colleagues.

2. Advance Planning:

  • Time-off requests should be made with enough notice to allow for adequate planning and transition of responsibilities.
  • For extended absences, such as vacations, a detailed handover document should be prepared, outlining any necessary steps for colleagues taking over.
  • Out of Out-of-office messages should be placed on both email and voicemail to direct communication to the shared appropriate email box and main phone number.  

3. Communication with Management:

  • Team Members must communicate their coverage plans to their direct manager before the leave is approved. This includes naming the individuals responsible for each of their tasks and ensuring those individuals are aware of the expectations.
  • Managers should approve both the time off and the coverage plan.

4. Responsibility of the Backup:

  • Those covering tasks must ensure they complete the work to the same standard expected of the absentee.
  • If any issues arise during the Team Member's absence, they should be promptly reported to management to avoid delays.

5. Failure to Ensure Proper Coverage:

  • Team Members who fail to arrange for proper coverage, or who do not communicate their coverage plans to management, may face disciplinary action. Our goal is to maintain seamless operations, and this requires clear communication and shared responsibility.

By adhering to this policy, we can ensure that Team Members take the necessary time to rest while the company continues to function efficiently.
