Utilities - LeadSimple procedures

During "Move Out" process, a task asking to "Enter Utility Information" needs to be completed by the assigned Property Manager accurately and completely.

  • "Are we going to put Utilities in our name?" The corresponding blue field named "Need to connect utilities" MUST be completed otherwise Support will not get the Task asking that utilities be connected/reconnected in RPM's name.
    • If this Task is missed, old Tenants may be charged utility costs past their move out date or utilities will be turned off at the property while it is vacant.
    • If utilities are off at the property it could cause major problems including Vendors unable to do "make ready" work, etc.
  • Please note that if the Owner is going to sell the property, instead of re-renting it, then RPM will not put the utilities in its name. The Owner must set up utilities in their name and they receive an email reminder to that effect from LeadSimple/App Folio. They are asked to set up utilities by the Management End date or the next business day.

With new Residents Benefit Package, New Fields were added in LeadSimple to help Property Managers with this process:

  • To determine if utilities are in the Tenant's name, on right side of screen scroll to "Resident" section. It will show if Electric/Gas/Water are in the tenant's name along with the account numbers.
  • To double check if that information is accurate, you can click on the "App Folio" symbol in the LeadSimple property section, then scroll all the way to the bottom to the "Utilities Folder"
    • If there is no "Utilities Folder" in App Folio it means that utilities at that property have never been placed in Real Property Management Pros name/account ownership
    • If there is a "Utilities Folder" in App Folio it means that RPM has put utilities in its name before but it may not be current.

Please keep in mind that upon move out, tenants need to provide a Final Bill showing a zero dollar amount or a credit balance

  • Or the tenant needs to show that the service was transferred to another address
